Advanced Hearing Care, an established audiology practice in Bartlesville, OK, has served the community since 2006. The team — owner and provider Dr. Andrea Wagner, one audiology technician, and one patient-care coordinator — wanted to transition from paper-based processes to a fully digital, paperless workflow to improve efficiency, reduce storage needs, and enhance patient care.
A Digital Transformation
Audigy’s operations and professional-development experts helped the team at Advanced Hearing Care embed best practices for using the office management system (OMS), eliminate manual chart clutter, and streamline documentation and follow-up.
Eliminating Clutter
Archived, inactive patient charts were bulk-scanned to eliminate storage constraints and create a searchable digital record, and upcoming charts were pre-scanned. Current files were scanned and audited during scheduled off-hour blocks, and they used that opportunity for outreach to overdue or inactive patients.
Avoiding Clutter
The team was trained to use the OMS as the central hub for all patient documentation; fully digital onboarding was implemented for all new patients; and a custom appointment checklist was developed to guide visits, replacing paper charts.
Planning for the Future
Future steps, such as digital forms and e-signatures, were planned to complete the transition.
